Managing Your Batches

A batch is a group of postcards — your contacts paired with a card design and scheduling information. Here's how to view and manage them.

The Batches Page

Go to Batches in the sidebar to see all your batches, organized into four tabs:

  • Draft — Batches you're still setting up (not yet approved)
  • Active — Approved batches with cards being sent automatically
  • Completed — All cards in the batch have been delivered, failed, or canceled
  • Canceled — Batches you've canceled

Each batch shows its name, status, type (birthday or home anniversary), contact/mailer count, next send date, and creation date.

You can switch between table view and card view using the toggle at the top of the list.

Draft Batches

Draft batches are works in progress. You can:

  • Resume editing — Click the batch to reopen the Send wizard where you left off
  • Edit contacts — Add or remove contacts
  • Edit template — Change the card design
  • Approve — Finalize and schedule all cards
  • Delete — Remove the draft entirely

No credits are charged for draft batches.

Active Batches

Once approved, a batch becomes active. Cards are sent automatically on each contact's scheduled date. You can:

  • View details — See all mailers, statuses, and tracking info
  • Edit the batch name
  • Change the template — Affects future scheduled mailers only (already-sent cards are not changed)
  • Add new contacts — Expand the batch with additional recipients
  • Cancel individual mailers — Cancel a specific scheduled card
  • Cancel the entire batch — Cancels all remaining scheduled mailers. Already-sent cards are not affected. Credits are refunded for any unpaid canceled mailers.

Batch Details

Click any batch to see its details:

  • Batch overview — Name, status, type, timestamps
  • Mailer counts — Total, scheduled, printing, in transit, delivered, failed, canceled
  • Template preview — Your card design with front/back preview (click to see full size)
  • Mailer table — Every individual card in the batch

The Mailer Table

Filter mailers by status: Scheduled, In Transit, Delivered, Failed, Canceled, Payment Failed, or All.

Each mailer shows:

  • Recipient name
  • City, State
  • Current status
  • Send date / delivery date
  • Actions (cancel, view preview)

Understanding Mailer Statuses

  • Scheduled — Waiting to be sent (send date in the future)
  • Sending — Currently being submitted for printing (brief, transitional state)
  • Printing — Card has been accepted and is being printed
  • In Transit — Handed to USPS, on the way
  • Delivered — Confirmed delivered by USPS
  • Failed — Something went wrong during printing or sending
  • Canceled — You canceled this card before it was sent
  • Payment Failed — Not enough credits to send (see Account & Credit Issues)
