Tracking Your Mailers
Magic Mailer provides real-time tracking for every card you send. Here's what to expect at each stage.
The Mailer Lifecycle
Every card goes through these stages:
Scheduled → Printing → In Transit → Delivered
- Scheduled — The card is waiting for its send date. No credit is charged yet.
- Printing — The send date arrived. A stamp credit was charged and the card has been accepted for printing.
- In Transit — The card has been printed and handed to USPS for delivery.
- Delivered — USPS has confirmed the card was delivered to the recipient.
How Often Are Cards Sent?
The system checks for due mailers every 15 minutes. When a card's send date arrives, it's picked up in the next processing cycle, submitted for printing, and mailed via USPS First Class Mail.
How Long Does Delivery Take?
Typical delivery time is 3–7 business days after the card enters transit. This depends on USPS processing and the delivery destination.
Where Can I See Tracking?
- Batch Details — Go to Batches → click a batch → see the mailer table with all statuses
- Contact Details — Go to Contacts → click a contact → see their mailer history
- Home Dashboard — Shows recent activity and key stats
All statuses update in real time — no need to refresh the page.
What If a Card Fails?
If a card fails after being accepted for printing, the stamp credit is automatically refunded. You don't need to do anything.
Common failure reasons:
- Address issues detected during final processing
- Print production errors
If a card is returned by USPS (usually due to an address issue), the credit is also automatically refunded. Check the contact's address and update it if needed.
What If a Card Shows "Payment Failed"?
This means the system tried to charge a stamp credit when the send date arrived, but you didn't have enough credits. After 3 retry attempts, the mailer is marked as "Payment Failed."
To resolve: Purchase more credits or wait for your subscription to renew. Once credits are available, the system automatically retries these mailers — no manual action needed. See Account & Credit Issues for more details.
