Batch & Sending Issues
My batch shows "Draft" — how do I send it?
Draft batches need to be approved before cards are sent. To approve:
- Go to Batches and click the draft batch, or go to Send to resume the wizard
- Complete all steps (contacts, template, review)
- Click "Schedule Batch"
A subscription is required to approve batches.
Why can't I approve my batch?
Common reasons:
- No active subscription — You need a subscription to approve batches
- No template selected — Go back to Step 3 and choose a card design
- No contacts in the batch — Go back to Step 2 and select at least one contact
- Overage not acknowledged — If the batch would exceed your monthly credit allocation, you need to check the acknowledgment box in the review step
A mailer shows "Payment Failed"
This means the system tried to charge a stamp credit when the card's send date arrived, but you didn't have enough credits. After 3 retry attempts, the mailer was marked as "Payment Failed."
To resolve:
- Purchase more credits, or
- Wait for your subscription to renew (credits refresh each billing period)
Once credits are available, the system automatically retries payment-failed mailers within the next processing cycle (every 15 minutes). No manual action is needed beyond ensuring you have credits.
Payment-failed mailers are not lost — they stay in the batch and will be sent once credits are available.
I just purchased credits — when will my failed mailers send?
The system processes due mailers every 15 minutes. After purchasing credits, your payment-failed mailers should be picked up and sent within the next cycle.
Can I edit a batch after it's approved?
Yes, with some limitations:
- Batch name — Can be changed anytime
- Template — Can be changed (affects future scheduled mailers only)
- Individual mailers — Scheduled mailers can be canceled
- New contacts — Can be added to the batch
- Already-sent mailers — Cannot be modified or recalled
Can I cancel a batch?
Yes. Go to the batch details and click Cancel Batch. This cancels all remaining scheduled mailers. Cards that have already been sent (printing, in transit, or delivered) are not affected. Credits are refunded for unpaid canceled mailers.
You can also cancel individual mailers without canceling the entire batch.
